1. Data controller
For the purposes of the GDPR, canadian.ink acts as the data controller for personal information submitted through our website, intake form or advisory engagements. Inquiries may be directed to supp@canadian.ink.
2. What we collect
- Intake data: full name, email, phone number, Canadian province of residence, target destination, desired advisory package and any optional context you provide.
- Engagement data: civil, financial, professional or supporting documents that you choose to share with us during a document audit or pre-screening.
- Billing data: the minimum information required to process your payment in CAD through our third-party payment provider. We do not store full card numbers.
- Technical data: standard server logs (IP address, browser type, timestamps) used to maintain the security and reliability of canadian.ink.
3. Legal bases for processing
- Performance of a contract (delivering the advisory engagement you purchased).
- Compliance with legal obligations applicable to canadian.ink under Polish and European law.
- Legitimate interest in operating, securing and improving our advisory services.
- Consent, where required, for optional communications.
4. How we use your data
- To deliver the advisory engagement, including written reports, PDF roadmaps and consultation calls.
- To respond to your inquiries submitted via the intake form, email or telephone.
- To meet legal, accounting and audit obligations.
- To protect canadian.ink and our clients against fraud, abuse and security incidents.
5. Sharing of data
We do not sell personal data. We share information only with:
- Trusted technology providers (hosting, email, secure storage, video conferencing) acting under written data-processing agreements that meet GDPR standards.
- Our regulated payment providers, strictly to process payments in CAD.
- Public authorities, when required by applicable law.
6. International transfers
Because canadian.ink operates from Poland and serves clients in Canada, your data may be transferred between Canada and the European Economic Area. All such transfers are performed using safeguards recognised under the GDPR, including standard contractual clauses where applicable.
7. Retention
Personal data is retained only for as long as necessary to provide the advisory engagement and to meet legal, accounting and audit obligations. Documents shared during a pre-screening or audit are securely deleted upon written client request, subject to any overriding legal retention requirement.
8. Your GDPR rights
- Right of access to your personal data.
- Right to rectification of inaccurate data.
- Right to erasure ("right to be forgotten"), subject to legal exceptions.
- Right to restriction of processing.
- Right to data portability.
- Right to object to processing based on legitimate interest.
- Right to withdraw consent at any time, where processing is based on consent.
- Right to lodge a complaint with a competent European supervisory authority.
To exercise any of these rights, contact supp@canadian.ink. We will respond within the timelines required by the GDPR.
9. Security
We apply reasonable technical and organisational measures — including encrypted transport, access controls and secure storage — to protect personal data against unauthorised access, alteration, disclosure or destruction.
10. Cookies
canadian.ink uses only the minimum cookies and similar technologies required for the website to function securely. We do not use cookies for advertising or cross-site behavioural tracking.
